Your Trip
Clients will receive a detailed itinerary outlining the various destinations and activities included in their trip, ensuring clarity on what to expect. The safari services agreed upon will be provided, except in cases of unforeseen circumstances such as road closures, adverse weather conditions, or security concerns. In such instances, the itinerary may be adjusted at the company’s discretion, with clients being informed and alternative arrangements made as possible. WeGuideAfricaSafaris will make every effort to maintain the quality and character of the itinerary.
Clients should be aware that conditions in Tanzania may differ from those in developed countries. WeGuideAfricaSafaris reserves the right to pass on any changes in local taxes or fees, such as national park fees, that occur unexpectedly.
Payment Terms
Upon confirmation of the booking, clients will receive an invoice with all relevant details. To secure the reservation, a 50% deposit of the itinerary cost is required, with 100% payment required upfront for airline tickets. The remaining balance is due 65 days before the start date of the itinerary. For bookings made within 65 days of departure, full prepayment is required at the time of reservation.
Methods of Payment
Payments can be made via bank wire, transfer or online payment.
Cancellation Policy
In the event of cancellation, either in full or partially, WeGuideAfricaSafaris will apply the following charges:
- More than 65 days before departure: Deposit non-refundable
- 50-65 days before departure: 50% of the itinerary cost
- 0-50 days before departure: 100% of the itinerary cost
Should you wish to make changes to your itinerary or request an earlier departure date after booking confirmation, we will do our best to accommodate your requests based on availability. However, a change fee of $50 USD will apply.
Website Pricing
All prices listed on WeGuideAfricaSafaris.com are per person, based on double occupancy (unless otherwise specified) and are quoted in US dollars (US$). Costs for obtaining passports or visas, border taxes (if applicable), tips for guides, drivers, and hotel staff, insurance, additional excursions, or personal expenses are not included in the itinerary cost. Discounts for children or peak rates during high/festive seasons are not included. Prices on the website are indicative and subject to change. WeGuideAfricaSafaris is not responsible for pricing errors or changes. Final costs will be detailed in the invoices, which are valid for 2 weeks.
Travel Documents
Clients will receive all necessary travel documents (vouchers, e-tickets, luggage labels, and flyers) two weeks before departure.
Insurance
It is mandatory for guests to have comprehensive travel and medical insurance to cover themselves and their dependents for the duration of their trip to Tanzania. This insurance should include coverage for medical expenses and repatriation. Optional coverage includes cancellation or curtailment of the safari, emergency evacuation expenses, and damage/theft/loss of personal baggage. Passports and Visas
It is the responsibility of the guest to ensure that passports and visas are valid for all countries visited. Most nationalities can obtain a tourist visa on arrival in Tanzania at the border/airport ($50 per person, US Citizens $100 per person). This visa is valid for three months. Alternatively, visas can be obtained in advance from the Tanzanian embassy in your home country. Passports should be valid for at least six months beyond the final day of travel. WeGuideAfricaSafaris is not liable for any issues related to visas or passport validity.
Name Verification
Please verify the names on the invoice upon receipt. Any changes requested more than 3 days after receipt will incur a fee of $55.
Acceptance of Terms
Booking with WeGuideAfricaSafaris implies acceptance of these Terms and Conditions.
Company Information
The holidays featured on our website are operated by WeGuideAfricaSafaris, registered in Tanzania with number 559395. The following conditions form part of your contract with us. Please read them carefully before booking. Payment of your deposit signifies acceptance of these terms and conditions.
- Contract
Your contract is with WeGuideAfricaSafaris. All brochures, correspondence, and bookings are subject to these terms and conditions, which may only be altered by a director of WeGuideAfricaSafaris. By confirming your booking, you acknowledge that you have read and understood these terms.
- Booking Procedures
WeGuideAfricaSafaris creates tailor-made holidays to suit personal preferences. A binding contract is formed when we receive a 50% deposit of the quoted price or full payment if booking within 12 weeks of departure. Full payment is required 12 weeks prior to departure. If payment is not received in time, we reserve the right to cancel your holiday and apply the cancellation charges outlined below. The lead booker is responsible for full payment and ensuring all parties in the booking are aware of and agree to these terms.
- Medical Conditions and Disabilities
If you or any member of your party has medical conditions or disabilities that may affect your holiday, please inform us before confirming your booking. We may need to decline the booking if we cannot accommodate specific needs.
- Documentation
Carefully review your confirmation invoice, tickets, and all other documents upon receipt. Notify us immediately of any inaccuracies within 14 days. Costs for correcting errors not notified within this period will be the responsibility of the client.
- Cancellation by You
Cancellations must be made in writing and are effective from the date of receipt. The following charges apply:
- More than 65 days before departure: Deposit only
- 50-65 days before departure: 50%
- 0-50 days before departure: 100%
International flight costs are non-refundable.
- Price Changes
Your itinerary price is based on known costs at the time of issue. We may apply a surcharge if costs increase before full payment is received, absorbing up to 2% of the total holiday price. Any surcharge exceeding 10% entitles you to cancel with a full refund. We may correct pricing errors before confirmation.
- Amendments by You
Requests to change your itinerary after deposit payment will be accommodated where possible, subject to a fee of $75 per person ($100 for US clients). Changes within 12 weeks of departure are treated as cancellations.
- Cancellation by WeGuideAfricaSafaris
We reserve the right to cancel your holiday before full payment is received. In such cases, we will refund all Money paid or offer an alternative holiday of comparable standard. Compensation of $75 per person will be provided. We are not liable for cancellations due to force majeure or non-compliance with booking conditions.
- Amendments by WeGuideAfricaSafaris
We reserve the right to make changes to your holiday. Major changes, such as significant alterations to flights or accommodation, will offer the choice of accepting the new arrangements, taking another holiday with us, or receiving a full refund. Compensation will not be payable for minor changes or those due to unforeseen circumstances.
- Our Responsibilities
WeGuideAfricaSafaris is responsible for ensuring your holiday is as described and meets a reasonable local standard. We do not accept liability for services not part of our contract or for activities not controlled by us.
- Carriers
Carriage by air and sea is subject to carrier terms and international conventions. WeGuideAfricaSafaris is not liable for carrier-related issues or delays.
- Insurance
Travel insurance is mandatory. We reserve the right to cancel your holiday if you do not provide proof of insurance.
- Governing Law
These terms and conditions are governed by Tanzania law, with exclusive jurisdiction in the Tanzania.
- 1 Waiver of Claims
If referred by a third party, you agree to hold them blameless for any issues related to your booking.
- Problems
Report any problems during your holiday to the relevant organizer immediately. If unresolved locally, submit full details to WeGuideAfricaSafaris in writing within 28 days of return. Failure to do so may limit our ability to address the issue.
